RallyBound has pre-defined security roles available in the system that you are free to use, or you have the liberty to create your own security roles based on your company's preference and setup.

Below is an explanation of how the roles are constructed and a definition of each available security role within RallyBound.


Security Roles can be accessed through the Client Admin by selecting ADMINISTRATORS > SECURITY ROLES.

Each role is defined by different functional areas of the RallyBound system, either within the Campaign (blue) or Client Admin (gray). By clicking on the role, and then the permission, you will see additional 

detail that is ultimately defined by "DELETE", EDIT", "VIEW", "NONE", "VARIOUS"

DELETE - The highest level of rights as the administrator can edit, view and remove the record. This has implications related to issuing refunds, removing registration records, emails and other content on the RallyBound system. These rights are generally reserved for Finance, IT or Executive roles.

EDIT - Administrators with edit rights can view a record and edit details. For example, if someone's name was spelled incorrectly this could be updated or Ii a donation was made to the wrong team. These rights are generally given to Event Managers that are involved in the day to day operations of a campaign.

VIEW - Administrators with view rights can see information without being able to edit or delete the information. This can be really helpful for volunteers or individuals that are temporarily helping with an event as they can see information without the risk of important campaign data being altered.

NONE - This area of the system will not be available at all to administrators with this setting.

VARIOUS - This setting allows the primary administrator to customize the security role for their nonprofit.

The underlined item is the permission as it exists in the admin. This is not in the order you would find it but the logical order of where you would find the permission within RallyBound. The default RallyBound roles are listed below:


FULL PERMISSIONS - Highest level of permissions. Generally reserved for Event Owners and Database contacts.

Campaign Admin

  • TRANSACTIONS - The ability to delete all DONATIONS, RECURRING DONATIONS and REGISTRATION records. The only transaction type that cannot be deleted are TICKETS, which can be edited. (If these need to be deleted please contact support). These tabs can be found in the Campaign Admin.
  • RECOMMITMENT - The ability to delete recommitment records. If you have RECOMMITMENT set up, this would be ideally be established before your campaign launch. This would be found within the PEOPLE tab in the Campaign Admin.
  • PEOPLE - The ability to delete all records within CONTACTS, DONORS, REGISTRANTS, AND TEAMS. These tabs can be found in the Campaign Admin.
  • MEMBER MERGE - The ability to delete a user record through the act of merging two records together. This would be found within the PEOPLE tab in the Campaign Admin.
  • EMAIL - The ability to delete all emails from SEND EMAILS, PENDING ADMIN EMAILS, SENT ADMIN EMAILS, SENT AUTO RESPONDERS, EMAIL TEMPLATES, HEADER AND FOOTER, FUNDRAISER EMAIL TEMPLATES AND AUTORESPONDERS. These tabs can be found in the Campaign Admin.
  • TRIGGERS - The ability to delete all custom triggers that have been set up through the Auto Responders.
  • SETTINGS - The ability to delete CAMPAIGN DICTIONARY entries and SOCIAL SHARE language. Within Settings, Full Permissions will allow edit rights to CAMPAIGN SETTINGS, DONATION PROCESSING, INTEGRATION OPTIONS and HQ TASKS. These tabs can be found in the Campaign Admin.
  • REGISTRATION FIELDS - The ability to delete all REGISTRATION FIELDS. This tab can be found in the Campaign Admin.
  • DISCOUNT CODES - The ability to delete all DISCOUNT CODES. This tab can be found in the Campaign Admin.
  • CONTENT - The ability to delete all BLOG FEEDS, images and videos in the MEDIA LIBRARY, SPONSORS, and FAQ. These tabs can be found in the Campaign Admin. The ability to edit CONTENT ON SITE (Front-view of the website) and PERSONAL PAGE DEFAULTS (The personal and team fundraising pages). These tabs can be found in the Campaign Admin.
  • TICKETS - The ability to delete all tickets created through the TICKET BUILDER. These tabs can be found in the Campaign Admin.
  • DONATION TICKETS - The ability to delete all DONATION TICKETS. This can be found in the Campaign Admin.
  • FORMS - The ability to delete all FORMS created. These tabs can be found in the Campaign Admin.
  • REPORTS - The ability to run any report, You can also create your own report view and delete these at your discretion. These tabs can be found in the Campaign Admin.
  • ONSITE - The ability to delete all records accessed through the RallyBound onsite feature. This can be found in the Campaign Admin.

Platform Admin

  • ADMIN USERS - The ability to delete other administrators from the account. This section can be found in the Client Admin.
  • CAMPAIGNS – See all campaigns associated with the account and relaunch, replicate or end, as well as publish and delist.
  • ADMIN API - The ability to allow our API to impersonate the admin-user, which would allow apps to edit, create and delete records. This would be customized setup discussed during onboarding.
  • CAUSES - The ability to delete CAUSES, which would be customized set up identified during your onboarding. If you are not familiar with CAUSES this would not apply to you. This would be found through fundraisers personal pages.


EDITOR – This is a good role for someone actively working in a campaign. The ability to edit all areas of the site but unable to delete.  

Campaign Admin

  • TRANSACTIONS - The ability to edit all DONATIONS, RECURRING DONATIONS, REGISTRATION and TICKET records.
  • RECOMMITMENT - The ability to edit recommitment records. If you have RECOMMITMENT set up, this would be ideally be established before your campaign launch. This would be found within the PEOPLE tab in the Campaign Admin.
  • PEOPLE - The ability to edit all records within CONTACTS, DONORS, REGISTRANTS, AND TEAMS. These tabs can be found in the Campaign Admin.
  • MEMBER MERGE - The ability to edit a user record through the act of merging two records together. This would be found within the PEOPLE tab in the Campaign Admin.
  • EMAIL - The ability to edit all emails from SEND EMAILS, PENDING ADMIN EMAILS, SENT ADMIN EMAILS, SENT AUTO RESPONDERS, EMAIL TEMPLATES, HEADER AND FOOTER, FUNDRAISER EMAIL TEMPLATES AND AUTORESPONDERS. These tabs can be found in the Campaign Admin.

Platform Admin

  • ADMIN USERS This user does not have right to add or delete any admin users. 
  • CAMPAIGNS – Can view existing campaigns associated with an account. Can also Publish or Delist campaigns.
  • ADMIN API - This user does not have Admin API access. 
  • CAUSES - The ability to edit CAUSES, which would be customized set up identified during your onboarding. If you are not familiar with CAUSES this would not apply to you. This would be found through fundraisers personal pages.


VIEW ONLY – This would be a good role for someone who wants to see activity but will not be making any changes as they can view information but cannot edit or delete.

Campaign Admin

  • TRANSACTIONS - The ability to view all DONATIONS, RECURRING DONATIONS and REGISTRATION records. The only transaction type that cannot be viewed are TICKETS.
  • RECOMMITMENT - The ability to view recommitment records. If you have RECOMMITMENT set up, this would be ideally be established before your campaign launch. This would be found within the PEOPLE tab in the Campaign Admin.
  • PEOPLE - The ability to view all records within CONTACTS, DONORS, REGISTRANTS, AND TEAMS. These tabs can be found in the Campaign Admin.
  • MEMBER MERGE - The ability to view a user record through the act of merging two records together. This will be helpful in comparing records but this user would not be able to merge the record. This would be found within the PEOPLE tab in the Campaign Admin.
  • EMAIL - The ability to view all emails from SEND EMAILS, PENDING ADMIN EMAILS, SENT ADMIN EMAILS, SENT AUTO RESPONDERS, EMAIL TEMPLATES, HEADER AND FOOTER, FUNDRAISER EMAIL TEMPLATES AND AUTORESPONDERS. These tabs can be found in the Campaign Admin.
  • TRIGGERS - The ability to view all custom triggers that have been set up, this would only refer to customized development for items such as badges.
  • SETTINGS - The ability to view the CAMPAIGN DICTIONARY entries and SOCIAL SHARE language. View only is unable to see any other tabs within settings (Campaign settings, Donation and Integration options and HQ Tasks).
  • REGISTRATION FIELDS - The ability to view all REGISTRATION FIELDS. This tab can be found in the Campaign Admin.
  • DISCOUNT CODES - The ability to view all DISCOUNT CODES. This tab can be found in the Campaign Admin.
  • CONTENT - The ability to view all BLOG FEEDS, images and videos in the MEDIA LIBRARY, SPONSORS, and FAQ. This user does not have access to “Edit Content on Site” or “Personal Page Defaults”.
  • TICKETS - The ability to view all tickets created through the TICKET BUILDER. These tabs can be found in the Campaign Admin.
  • DONATION TICKETS - The ability to view all DONATION TICKETS. This can be found in the Campaign Admin.
  • FORMS - The ability to view all FORMS created. These tabs can be found in the Campaign Admin.
  • REPORTS - The ability to view any report.
  • ONSITE – This user does not have access to the Onsite Feature.

Platform Admin

  • ADMIN USERS This user does not have right to add or delete any admin users. 
  • CAMPAIGNS – Can view existing campaigns associated with an account.
  • ADMIN API - This user does not have Admin API access.

WEBMASTER – This role is intended for someone maintaining the website for the nonprofit. This role has more permission than View Only.

Campaign Admin

  • TRANSACTIONS - The ability to view all DONATIONS, RECURRING DONATIONS and REGISTRATION records. The only transaction type that cannot be viewed are TICKETS.
  • RECOMMITMENT - The ability to view recommitment records. If you have RECOMMITMENT set up, this would be ideally be established before your campaign launch. This would be found within the PEOPLE tab in the Campaign Admin.
  • PEOPLE - The ability to view all records within CONTACTS, DONORS, REGISTRANTS, AND TEAMS. These tabs can be found in the Campaign Admin.
  • MEMBER MERGE - The ability to view a user record through the act of merging two records together. This will be helpful in comparing records but this user would not be able to merge the record. This would be found within the PEOPLE tab in the Campaign Admin.

  • REPORTS - The ability to view and delete any report.

  • EMAIL - This user does not have permissions to the Email tab.

  • SETTINGS - This user does not have permissions to the Settings tab.
  • REGISTRATION FIELDS - This user does not have permissions to the Registration Fields.
  • DISCOUNT CODES - This user does not have permissions to the Discount Codes.
  • CONTENT - This user does not have permissions to the Content tab.
  • TICKETS - This user does not have permissions to the Tickets tab.
  • FORMS - This user does not have permissions to the Forms tab.
  • REPORTS - The ability to view and delete any report.
  • ONSITE – This user does not have access to the Onsite Feature.

Platform Admin

  • ADMIN USERS This user does not have right to add or delete any admin users. 
  • CAMPAIGNS – Can view existing campaigns associated with an account.

If none of these roles is a fit for what you’re looking for you can create your own custom role by selecting “Add Security Role” and then identifying the criteria that are a fit for this role.
